Travel Policy
This Travel Policy outlines how Techquila Freelancing Inc. (“we,” “our,” or “us”) manages travel-related fees for in-person appointments, on-site services, and client deliveries.
The purpose of this policy is to ensure transparency, fairness, and consistency when travel is required to deliver services.

Purpose
Techquila Freelancing Inc. provides both local and regional support across Alberta.
This policy defines when travel fees apply, the areas covered at no cost, and how travel arrangements are billed and managed.
Complimentary Service Area
Techquila Freelancing Inc. is based in Acme, Alberta, and proudly serves the surrounding communities.

Travel within 30 kilometres (one way) from Acme is complimentary.

This includes client meetings, on-site technical support, equipment pick-ups, and document deliveries within the defined range.
Extended Travel
For service locations beyond the complimentary 30 km range:

A travel fee of $0.75 per kilometre applies for each additional kilometre (one way).

Travel distance is calculated from Acme, Alberta, to the service location using Google Maps.

The fee applies to the initial trip only — return distance is not charged.

Any parking or toll charges incurred during travel may be added to the final invoice.
Booking & Payment

Travel fees are disclosed and approved before booking confirmation.

For on-site or out-of-town appointments, the travel fee must be paid in full prior to service.

Travel fees are non-refundable once travel has commenced or the service has been completed.
Cancellations & Rescheduling
If travel has already begun or the destination has been reached:

The full travel fee remains payable.
If a client cancels or reschedules before travel has started: -
Standard 24-hour cancellation rules apply under the Cancellation Policy.

Rescheduling within a reasonable timeframe does not incur additional travel charges, provided the location remains the same.
Weather & Accessibility
Techquila Freelancing Inc. reserves the right to reschedule or delay travel in cases of:

Hazardous weather conditions

Road closures or travel advisories

Circumstances posing safety risks to staff or clients
Any delays caused by uncontrollable factors will be communicated promptly, and new arrangements will be made at the earliest opportunity.
Overnight or Extended Trips
For multi-day travel or long-distance service calls (over 250 km):

Additional accommodation, meal, or per diem charges may apply.

Clients will be notified of all estimated costs in advance for approval.

Receipts will be provided for expense-based reimbursements when applicable.
Update to Policy
This policy may be updated periodically to reflect changing service areas, travel costs, or business needs.
